Privacy Policy

1. Who we are

Profit Pioneer (“we”, “us”, “our”) builds proposal software for agencies, consultants and independent professionals. For the purposes of South Africa’s Protection of Personal Information Act 4 of 2013 (POPIA), we are the “responsible party” for the personal information processed through this service. Our Information Officer is Jordan Fransman, reachable at ProfitPioneer07@outlook.com. This Privacy Policy explains what personal information we collect, how we use and protect it, and your rights under POPIA.

2. What personal data we collect

We only collect information that is needed to run the service:

• Account information: your email address and a securely hashed password. We never store your password in plain text.
• Business profile: your name, company name, logo, brand colour and website (if you choose to add them).
• Client and proposal data: anything you enter about your clients, proposals, sections, line items, messages and signatures. You control this data and it belongs to you.
• Usage and technical data: browser type, IP address, pages visited, and error logs. This helps us keep the service secure and improve performance.
• Billing information: subscription and payment details are handled by our payment processor, Paddle. We do not store full card numbers on our servers.

3. How we use your data

We use your information to:

• Provide, operate and maintain your Profit Pioneer account.
• Process subscriptions, invoices and plan changes.
• Send service emails such as confirmations, reminders and security alerts.
• Respond to support requests and improve the product.
• Protect the service from fraud, abuse and security threats.
• Comply with legal obligations.

4. Providing information is voluntary

You are not legally obliged to give us your personal information. However, if you choose not to provide information we need (such as your email address), we will not be able to create your account or provide the service to you.

5. How we store and protect it

Your data is stored in secure cloud infrastructure with encryption in transit and at rest. We use row-level security, strong access controls, and regular backups. No system is completely risk-free, but we follow industry standards to keep your information safe.

6. Cross-border transfers

Some of our service providers (such as cloud hosting, authentication and payment processing) may store or process your information outside South Africa. Where this happens, we ensure the information receives a level of protection that is substantially similar to POPIA, as required by section 72 of the Act.

7. Sharing your information

We do not sell your personal information. We only share data with trusted service providers who help us run Profit Pioneer, including:

• Paddle (payment processor and Merchant of Record) — receives your email address and purchase details to process subscriptions, taxes and refunds.
• Cloud hosting and authentication providers — store your account and proposal data securely.
• Email delivery services — send service emails such as confirmations and reminders.

Each provider is contractually bound to keep your data confidential and secure.

8. Your rights under POPIA

South African law gives you the right to:

• Ask what personal information we hold about you.
• Correct or update your personal information.
• Request deletion of your account and associated data.
• Object to certain processing or unsubscribe from marketing emails.
• Lodge a complaint with the South African Information Regulator.

9. Cookies and analytics

We use essential cookies to keep you signed in and secure. Where you consent, we also use analytics cookies to understand how visitors use the site. You can disable non-essential cookies through your browser settings.

10. Data retention

We keep your account data for as long as your account is active. If you cancel, we delete or anonymise your personal information within a reasonable period, unless we are required by law to keep it for longer. Proposal content you create is controlled by you and can be deleted from your dashboard at any time.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of the page. Significant changes will be announced by email or through the app.
